Requesting samples is one of the most
important steps in the pet product
sourcing process.
It’s also one of the most misunderstood.
Many brands either skip samples entirely
— and regret it — or don’t know how to
evaluate them properly once they arrive.
This guide covers everything you need
to know about getting samples right.
Why Samples Matter More Than You Think
A sample is not just a quality check.
It’s your first real interaction with
the factory’s capabilities. How they
handle your sample request tells you
almost everything you need to know
about how they’ll handle your bulk order.
A factory that:
– Responds quickly to sample requests
– Asks smart questions about your requirements
– Delivers samples on time
– Provides documentation without being asked
…is almost always a factory that will
deliver a reliable bulk order.
A factory that delays, makes excuses,
or sends samples that don’t match
the agreed specifications —
that’s your warning.
Step 1: Know Exactly What You Want Before Requesting
Before contacting any factory for samples,
be clear on:
Product type and format
Soft chew, capsule, powder, liquid,
grooming product — be specific.
Key ingredients or formula requirements
If you have preferences, state them upfront.
Packaging type
Bottle, pouch, jar — and size.
Label requirements
Do you need your logo on the sample,
or is a plain sample acceptable for
initial testing?
Quantity
Most factories send 1-3 units for
initial samples. Be clear about
what you need.
The more specific you are, the more
accurately the sample will represent
your final product.
Step 2: Understand Sample Costs
Samples are rarely free — and they
shouldn’t be.
A factory that offers completely free
samples is often sending generic
stock items, not samples made to
your specifications.
Typical sample costs:
Standard samples (existing formula,
no customization): $20 – $80 USD
Custom samples (your formula or
specific requirements): $100 – $300 USD
Sample shipping (international courier):
$30 – $80 USD
These costs are worth paying.
They’re your quality insurance before
committing to a bulk order.
At Petriva Nutrition Labs, we handle
the sample process on your behalf —
and crucially, we test every sample
ourselves in China before it ever
reaches you. Only once we’re satisfied
with the quality do we forward samples
to our clients.
This means you receive samples that
have already passed a real-world
quality check, not just left a factory.
Step 3: What to Ask For With Your Sample
When requesting a sample, always ask
the factory to include:
Certificate of Analysis (COA)
This document confirms the product
meets the specified formula and
ingredient concentrations.
Material Safety Data Sheet (MSDS)
Important for grooming and liquid products.
Ingredient list and sourcing information
Where do the key ingredients come from?
Factory certification documents
GMP, ISO 22000, or HACCP certificates.
If a factory is reluctant to provide
any of these documents, that’s a
significant red flag.
Step 4: How to Evaluate Your Sample
When the sample arrives, test these
specific things:
For supplements and treats:
– Does the product look and smell
as expected?
– Is the texture and consistency
consistent across units?
– Does the packaging seal properly?
– Are the label details accurate?
For grooming products:
– Consistency and texture of the formula
– Scent (if applicable)
– Packaging integrity — does it leak?
– Pump or dispenser functionality
For packaging:
– Does the cap or closure seal correctly?
– Is the surface finish as specified?
– Does the label adhere properly?
Don’t rush this stage.
A thorough sample evaluation now
saves significant problems later.
Step 5: Give Clear Feedback
After evaluating your sample, give the
factory specific, written feedback.
Not: “The sample looks okay.”
But: “The texture is slightly too firm.
Please reduce the binding agent
concentration by 5%.
The packaging seal is good.
The label placement is 3mm too high —
please adjust.”
Clear feedback leads to better
revised samples and sets the standard
for your bulk production.
Step 6: Confirm Before Bulk Production
Once you’re satisfied with the sample,
confirm in writing:
– The approved sample is the production standard
– Any adjustments agreed upon
– Production timeline
– Payment terms
Keep a physical sample and photographs
as reference. If bulk production
quality deviates, you have documented
proof of what was agreed.
Common Sample Mistakes to Avoid
Accepting a sample that’s “close enough”
If the sample isn’t right, the bulk
order won’t be either. Request revisions.
Skipping samples to save time or money
This is the most expensive shortcut
in sourcing. Don’t do it.
Not testing functionality
For grooming products especially —
test the pump, the spray, the seal.
Every time.
Losing track of your approved sample
Keep it. You’ll need it if there’s
ever a dispute about bulk quality.
The Bottom Line
The sample stage is where good sourcing
partnerships are built — or where
problems are caught before they
become expensive.
Take it seriously. Test thoroughly.
Give clear feedback. And never approve
a bulk order from a sample you’re
not fully satisfied with.
